Who we are

Snow Summit Race Team ("SSRT", "we", "us") is a youth ski and snowboard race program operated under the Big Bear Ski Education Foundation (BBSEF). Our website address is: https://snowsummitraceteam.org.

What personal data we collect and why we collect it

Accounts and household profiles

When you create an account and register your household, we collect information about you and the family members you add: names, dates of birth, email addresses, phone numbers, and home addresses. For registered athletes we also collect information needed to run our programs safely, including school and grade, emergency contacts, medical details (physician and dentist contacts, allergies and conditions you choose to share), insurance policy information, and competition license numbers (such as U.S. Ski & Snowboard, USASA, IFSA, or FIS IDs).

Program registration and memberships

When you register an athlete for a program or purchase a membership, we keep a record of the registration, the program, and the related orders, invoices, and receipts so we can manage your participation and billing.

Payments

Payments are handled by a PCI-compliant payment processor. Your full card or bank account number goes directly to the processor and is never stored on our servers; we keep only what is needed to show you your payment methods and history, such as the card brand, the last four digits, and the billing name.

Contact and help forms

If you contact us through the Help Center or another form on this website, we receive the information you fill out and use it to respond to you and manage the engagement. We will not give this information to anyone outside of our organization.

Newsletter

If you subscribe to updates, we store your email address and the topics you choose so we can send you the newsletter. You can unsubscribe at any time.

Cookies

When you log in, we set cookies to keep your session active and secure. These cookies are required for the members area to work and are removed when you log out or when they expire. We do not use cookies to show you advertising.

Analytics

We use Google Analytics to help us understand where our audience is and how they respond to the content on the website. This information is statistical and does not identify a single user. If you do not want your visits included, you can install Google's browser opt-out plugin, which prevents your data from being used by Google Analytics.

Who we share your data with

Your data is used only for the purposes of running the team. We share it only with the service providers that operate this website and its member platform on our behalf, with our payment processor to process payments you initiate, and with sport governing bodies (such as U.S. Ski & Snowboard, USASA, IFSA, or FIS) when that is required to register an athlete for competition. We will never sell your data or share it with any organization outside of these purposes.

How long we retain your data

We retain household, registration, and billing records for as long as your family participates in the team and as long as we are required to keep them for administrative, legal, or safety reasons. Google Analytics data is deleted 14 months after your last interaction with the website.

What rights you have over your data

You can see and edit your household's information at any time from your profile. You can also request an exported file of the personal data we hold about you, or request that we erase it. Erasure does not include data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data

All website traffic and emails are protected over a secure connection, and access to member data is limited to authorized team administrators.

What data breach procedures we have in place

Should there be a breach of the security of this website, we will alert all affected users whose contact information we hold within 72 hours of learning of the breach, and we will conduct a thorough investigation to determine what data was affected and how to prevent it in the future.
